Automation

If someone on your team spends half an hour every morning copying data from one place to another, that's sixty hours a year you can get back.

What gets automated

The ones I'm asked for most.

Enquiry to quote

A request comes in through the site and a numbered quote with your prices comes out, ready to review.

Recurring invoicing

The month's invoices are issued and sent on their own, with a reminder if they go unpaid.

Customer notifications

Booking confirmation, a reminder the day before, a note when the work is ready. By email or WhatsApp.

Data between tools

Your spreadsheet, your inbox and your accounting talking to each other without anyone playing courier.

Automatic reports

The monthly summary in your inbox on the 1st, with the figures already worked out.

Onboarding and paperwork

Contracts, forms and folders created and filed on their own when a new client comes in.

How it starts

With a list of what you hate doing.

The first conversation is literally that: you tell me which tasks you repeat every week and how long they take. Three or four always come out, and usually one of them can be solved in a couple of days.

We start with the one that eats the most time and carries the least risk. Once you see it working, you decide whether we carry on with the others. Nobody needs to sign a twelve-month digital transformation plan to stop copying and pasting.

I work on the tools you already have. If I suggest changing something it's because your current tool can't connect to anything, not because it suits me.

Questions

About automation.

Will I have to change software?

Almost never. The point is to use what you already have and for your team to learn nothing new. I only suggest a change if the current tool offers no way to connect at all.

What if an automation fails one day?

It's built with alerts: if something doesn't run, it reaches me and you know about it. Nothing fails silently, which is the part that actually worries people.

Does this replace someone on my team?

In my experience, no: it frees that person from the dull part of the job so they can do the part that needs a brain. Nobody was hired to copy cells.

How soon does it show?

A simple automation is running in days and you feel it the same week. Anything touching invoicing or accounting takes more testing, because that's where you can't afford mistakes.

Tell me what's going wrong.

I'll look at your site and your competitors on Google and tell you what I'd do and what it would cost. Free. If it doesn't fit, you keep the analysis and that's that.
